Candidate Personal Information Collection Statement

Introduction

This Personal Information Collection Statement (this “ Statement”) is issued by Engineers Gate HK Limited (the “ Company”) and Engineers Gate Manager LP (together, “Engineers Gate”, “we”, “us” or “our”).


It explains how we collect, use and handle personal data about candidates applying for employment or internships with Engineers Gate in Hong Kong, in compliance with the Personal Data (Privacy) Ordinance (Cap. 486) (the “PDPO”).

Personal Data Collected

Engineers Gate collects and processes the following categories of personal data relating to candidates for employment or internships (“you”):


  1. Identification and Contact Information
    • Your name (including preferred names), date and place of birth; and
    • Your home and correspondence address, personal email addresses and phone numbers.
  2. Right-to-Work and Immigration Information
    • Your nationality and immigration status, including any need for sponsorship or right-to-work documentation.
  3. Recruitment and Assessment Information
    • Recruitment information, including your CV, cover letter, interview notes and related documentation, references, education, employment and compensation history;
    • Results of technical assessments, case studies, written exercises or trading simulations conducted as part of the selection process;
    • Personality or psychometric test assessments, where these are conducted;
    • Records of communications and correspondence between you, Engineers Gate, and any recruitment agency acting on your behalf; and
    • Information obtained from referees or publicly available professional sources (for example, LinkedIn or company websites).

    Engineers Gate uses video conferencing tools (such as Zoom or Microsoft Teams) for interviews, which may capture meeting details (e.g., time, date, participants, and technical identifiers). We do not record or retain any audio or video content from these sessions.


  4. Background and Regulatory Checks
    • Results of background screening checks, including verification of employment and education history, identity, criminal background checks, sanctions, or financial integrity checks; and
    • Regulatory registration details and professional membership information.
  5. Health Information for Reasonable Adjustments
    • Health and disability information you provide in connection with requests for reasonable adjustments during the recruitment process.
  6. Systems and Operational Information
    • Information collected through recruitment platforms such as Greenhouse, including your application details, interview scheduling and communication history; and
    • Metadata or technical information automatically generated when you interact with online application systems (for example, login details, submission timestamps or IP address).

    We collect this information directly from you, through our systems, from our affiliates, and from third parties acting on our behalf such as recruitment agencies, referees, background-check providers and regulatory databases.


Purpose of Collection

We use your personal data for the following purposes:

It is obligatory for you to provide the personal data as applicable as described above. If you do not provide the required personal data, we may not be able to process your application, assess your suitability for employment, or comply with our legal and regulatory obligations.


Disclosure to Third Parties

We may share personal data with other entities within the Engineers Gate group for purposes including:

Engineers Gate maintains appropriate data security measures to protect personal data transferred from Hong Kong, including administrative, technical and physical safeguards designed to prevent unauthorised or accidental access, processing, erasure, loss or use of personal data.


Personal data may also be stored on servers or systems located outside Hong Kong and processed by individuals working for our affiliates or third-party service providers in other jurisdictions, including the United States.
